  • Open your Refrens account
  • Navigate to Clients and Leads > Lead management
  • Click on ‘View leads’ next to a pipeline, to get an overview of all the leads in that particular pipeline
  • Utilize the filters to sort out the leads. You can also use the search bar to find a particular lead
  • Click on the leads to expand their details in the customer details section and track your interactions with them
  • Any additional details about the leads added using the custom fields will appear in the customer details section
  • In the customer details section, click on ‘change’ button next to lead assignee to assign the lead to a salesperson. The salesperson will then be able to connect with the lead via email or WhatsApp directly from Refrens
  • While sending a mail, choose a reason from the ‘select a reason for sending the mail’ option
  • The system will then automatically provide you with a template for the mail. One can make changes to the mail or send it as it is
  • Depending on your interaction with the lead, you can change the lead stage
  • Click on the ‘follow up on’ button to select a date and time you wish to follow up with the lead. Refrens will remind you whenever the follow up is due
  • Click on the +Add labels to add a label to the lead
  • Click on the budget button to add the lead’s estimated budget
  • You can also change the source of the lead by clicking on the ‘change’ button next to the ‘source of lead’ option.
  • One can record additional information regarding the lead activity and keep their team members on the loop using the ‘Internal Notes’ option
  • An audit log of the changes made to the lead by the team members can be viewed in the ‘Activity History’ tab
  • One can create a quotation directly from the lead management page by clicking on the ‘Create Quotation’ option.
  • One can select multiple leads from the ‘Leads Dashboard’ and click on the bulk action button to make changes in bulk

To capture more information about the leads, one can create custom fields. To do this follow the steps given below:

  • Navigate to Clients and Leads > Lead management
  • Click on Edit pipeline in which you wish to add custom fields
  • Hit ‘Add new field’ under ‘custom fields’
  • Click on save changes
    • To edit these custom fields, follow the steps given below:
  • Navigate to Business settings > Lead management system > Pipeline custom fields
  • Select the pipeline
  • Modify the custom fields as per your requirements

To bulk upload leads, follow the steps given below:

  • Navigate to Clients and Leads > Lead management
  • Choose the pipeline you wish to add the leads to and click on the ‘View leads’ option next to it
  • Click on the ‘+Add Lead’ dropdown menu on the upper right part of the screen.
  • Choose ‘Bulk upload leads’
  • Download the sample file format
  • Input the required details in the template
  • The ‘contact name’, ‘Subject’, ‘budget’, ‘currency’, and ‘lead stage’ are mandatory fields.
  • After filling the template with the required information, navigate back to the ‘Bulk upload leads’ screen in Refrens
  • Click on the ‘+ choose file’ option
  • Click on upload file, to finish the upload

  • Click on ‘Save and Continue’
  • On the Invoice preview page, Click on the ‘More’ option
  • Select ‘generate E-way bill’
  • Add the required details and click on ‘Generate E-way bill’
  • After generating the E-way bill, it can be downloaded by clicking on the ‘More’ option in the ‘Invoice preview page’ and selecting the ‘download E-way bill PDF’ option.
